ProLift Toyota Material Handling  is searching for a Service Team Administrator will organize and maintain the Service Department located within Lexington, KY.  Service Team Administrator will assist operations by preparing payroll; controlling correspondence, process accounts payable, run reports, bill monthly for guaranteed maintenance and monitor clerical functions. A successful Service Team Administrator will work directly with the Technicians and Management team with the goal of becoming an "Indispensable Partner"

Responsibilities (not limited to):

  • Process accounts payable invoices and assign accounts payable invoices in TrinDocs
  • Process PM agreements within 2 business days of receipt
  • Balance petty cash and request checks weekly or as needed
  • Post Technician labor daily and run payroll reports weekly
  • Local Human Resources contact
  • Process GM billing monthly & shop work orders
  • Process service invoices and GPM work orders into the Toyota portal
  • correct service invoice errors in the Toyota portal
  • Point of Contract when service calls are needed (copier, water cooler, plumber, etc.)
  • Obtain license plates and/or titles for service van needs when Field Service Supervisor isn’t available
  • Complete New Vendor request form
  • Maintain and schedule calendar for 2 conference rooms & training room along with being the Point of Contact for any meeting request (lunch set up, delivery etc.)
  • Maintain and distribute current office & technician phone list
  • Create and distribute important dates & birthdays calendar monthly
  • Back-up for incoming service calls & incoming calls from Corporate
  • Open and distribute mail daily
  • Point of contact for Cintas Uniforms
  • Process credit card payments, credit & re-bills and
  • Miscellaneous tasks/projects as needed
  • Maintain and order office supplies
  • Minimum Knowledge and Skills:
  • High school diploma or equivalent
  • Efficient in Microsoft Products (Word, Outlook, Excel)
  • Excellent verbal and written communication skills
  • Good organizational skills
  • The ability to work in a constant state of alertness and safe manner
